Executive Board Meeting

Begin Time: 7:59pm

President

·         Our budget was approved except for the knit hats.  Basically got $300 for cleaning practice rooms, repairing instruments, and a garment bag.  We will check out the visa card and go ahead and purchase those items.  We can request for more money at any time for other projects, the forms are online.  WE have $200 for copies and other supplies – just give them the EAF account #9-90913. Our SAF account is #9-96793.  Please let Lauren know if you purchase anything.

·         Aeros game – We need people to go to the Aeros games on August 29^th and September 5^th.  We can make a lot of money for our SAF.

·         Our next general meeting is next Tuesday, September 1^st at 8:00pm.  We need to go over bids, remind members that dues are due, and to turn in their grades to the Parlimentarian.  We need to work on proxies forms.  The handbook states that a $5 fine is levied for an unexcused absence.  5 or more unexcused absences will get you put on probation.  Absence forms must be turned in 5 days before.

·         Few people signed up for committees, so Emily is assigning committees and allowing people to ask to be moved, then finalizing the committee list.  She plans to email it to everyone and bring it to the first meeting.  She assigned certain amounts of people to each group, based on need.

·         We have Pod #3 with a locker and computer

Kappa Kappa Psi Liason

·         Needs to learn when their meetings are

·         Will talk to President to find out schedule

·         We might have joint meetings if we have a big group project, but we would prefer to avoid that because we have our different business and it would be a scheduling issue.

·         Goal – Meet more people in Kappa. 

Historian

·         Over the summer he thought up creating a YouTube account for our chapter for us to post movies, and so on.  He started getting in contact with alumni and added them to the alumni list.  He then created a history notebook for the band and our chapter.  There’s also a new history book, which he will bring to the first meeting.  He is restoring the old history book.  He will send the passwords for YouTube and the Photo-bucket accounts to the chapter.

·         This semester he will start contacting more and more alumni, and set up a night with our chapter and the alumni and have a discussion about our history.  We might organize a breakfast for old TBS members who attend the Alumni Band day.  On Facebook become a fan of TBS EI to show support for our chapter.

Recording Secretary

·         Updating roster

·         Proxy forms – I will send out a mass email to the chapter reminding them to fill out proxy forms and that there is a fine if they have an unexcused absence.

·         Meeting minutes on Forum – both general meeting and executive board meetings

Vice President

·         Updating the MEP – put in the new officers, new song

·         Work with Treasurer and President on getting a new garment bag

·         Wants to get a better score on our MEP – they want our MEP, things about recruiting, continuing education, and member education

·         How to do continuing education

o   At each meeting do a little review based on what the candidates are learning at that time

o   Have one big night to review ritual – maybe right before third degree

o   People who want to be Bigs need to pass an exam – will notify them at first meeting about what will be on exam – will be like a quiz of medium difficulty

o   Do a full run through of each degree before the degree

o   Games of some type

o   A five minute goofy education video

o   A Hymn workshop to learn the old songs and the new one the week the candidates learn it

·         Goals - Plan degrees way in advance and work on education

Corresponding Secretary

·         Visibility – every chapter in our district knows who we are and getting to know each of those chapters

·         Pen pal program – correspond in between chapters in our district

·         Send them a picture of us and something interesting about them, and make a collage and take it Districts

·         We got a thank you card from the steel drum band

·         Keeping up the traditions – if a band comes to visit we would give them a gift

Treasurer

·         Patches arrived in the mail – gave them to Jeff to distribute

·         Cici’s Pizza Fundraiser – approximately $40

o   For next time make a sign or have better advertising

·         Goal – working on setting up fundraisers and using a portion of those funds to help the chapter with districts

Parlimentarian

·         Enforce attendance policy

·         Make sure everyone understand the rules and we enforce them
